HR & Admin Assistant

Established since 25 years, COASTAIR is a full-service airfreight agency offering worldwide cargo solutions using scheduled and charter flights. With our own 8000 square meter Skyhouse warehouse located in Tongeren, as well as our more than 9000 square meter project in Grace-Hollogne (warehouse and offices), we provide a wide range of air freight solutions to freight agents, freight forwarders and Airlines companies. As a neutral air freight agency, we offer a "human" and "personalized" approach to each freight. Shipments may come in different shapes and sizes, but our mission is to treat them as if they were our own.
Responsabilities :
  • Updating the HR system and the employees database
  • Layout of various data
  • Establish and maintain filing or archiving systems
  • Establish, monitor and/or update administrative files
  • Prepare meetings/events/conferences/seminars/travel...(reservation of room, equipment, transportation, amenities...)
  • Manage the time schedule of one or more line managers
  • Receive and screen incoming phone calls and ensure their follow-up
  • Receive, filter and distribute mail (paper and electronic)
  • Encode, format and write documents (notes, texts, reports, correspondence...) based on instructions
  • Carry out documentary research
  • Follow up various HR procedures
  • Keep track on the supplies and order when needed
You are :
  • Bilingual in English/French
  • Dutch and other languages is a plus
  • Educational background, training or previous experience in Administration and/or HR
  • Strong Microsoft Office skills (Excel, Word, …)
  • Initiative

  • Driving License is desired
  • Clear criminal record
  • Permanent part-time contract which may lead to a permanent full-time contract
  • Monday to Friday office hours
